These Terms of Service (“Terms”) govern the use of the MyPropertyFlow platform operated by MyPropertyFlow Pty Ltd (“MyPropertyFlow”, “we”, “our”). By accessing or using the platform, each user (landlord, tenant, or service provider) agrees to be bound by these Terms.
If you do not agree to these Terms, you must not access or use the platform.
MyPropertyFlow provides software tools only. It does not act as a property manager, real estate agent, or managing agent for any property. The landlord self-manages their property at all times using the tools and automation provided by the platform.
All tenancy management decisions, legal notices, and contractual actions are the landlord’s sole responsibility. The platform facilitates and automates workflows at the landlord’s direction — it does not make decisions on the landlord’s behalf or hold authority to act for them.
By using MyPropertyFlow’s automated communication features (including rent arrears notices, inspection notices, and maintenance updates), the landlord grants MyPropertyFlow standing authority to deliver these communications in the landlord’s name, acting on the landlord’s standing instruction.
All automated communications are sent as “facilitated by MyPropertyFlow” and the landlord remains the legal sender at all times. The landlord may revoke this authority at any time by disabling the relevant automation in their account settings.
MyPropertyFlow does not hold, receive, or disburse funds on behalf of any user. All payments are processed by Stripe Payments Australia Pty Ltd (AFSL No. 458010) via Stripe Connect destination charges. Funds are routed directly from the payer (tenant or client) to the recipient (landlord or service provider). The platform fee is deducted automatically by Stripe as an application fee at the point of transaction.
The platform does not provide legal advice, financial advice, tenancy law advice, or investment advice. All information, projections, calculators, and reports on this platform are general in nature and do not take into account your personal objectives, financial situation, or needs. Users must seek independent professional advice for their specific circumstances.
Portfolio projections, cashflow estimates, and property valuations shown in the Portfolio Planner are indicative only and should not be relied upon as financial forecasts. Past performance does not guarantee future results. Property investment carries risk.
Landlords
Landlords are responsible for complying with all applicable tenancy legislation in their state (QLD, NSW, VIC, or other). This includes bond lodgement, entry condition reports, notices, lease execution, and dispute resolution. MyPropertyFlow provides templates and workflow tools but does not ensure legal compliance on the landlord’s behalf.
Tenants
Tenants use the platform to pay rent, submit maintenance requests, and access lease documents as facilitated by their landlord. Tenants are not charged subscription fees.
Service Providers
Service providers (tradespeople) use the Maintenance Marketplace to receive and complete maintenance jobs. Service providers are responsible for holding appropriate trade licences and insurance. A 1% platform activity fee applies after the first 20 completed jobs.
MyPropertyFlow offers three product tiers: Free (Property Insights), Starter (Portfolio Planner), and Professional (Full Property Management). Subscription fees are charged monthly or annually in advance via Stripe Checkout. All fees are inclusive of GST where applicable.
Platform service fees — 0.5% on rent transactions and 1% on service provider job value (after 20 jobs) — are deducted automatically via Stripe Connect at the point of transaction. You may manage your subscription, update payment methods, and cancel via the Stripe Customer Portal accessible from your account settings.
Where the platform facilitates access to TICA (Tenancy Information Centre of Australia) for tenant database checks, landlords are responsible for obtaining applicant consent before conducting a check. MyPropertyFlow facilitates access only and does not make tenancy decisions on the landlord’s behalf.
Users consent to MyPropertyFlow collecting, storing, and processing personal data (including tenant data entered by landlords) in accordance with our Privacy Policy and the Privacy Act 1988 (Cth).
To the maximum extent permitted by law, MyPropertyFlow’s aggregate liability to any user is limited to the total subscription fees paid by that user in the 12 months preceding the relevant claim.
MyPropertyFlow is not liable for loss arising from a user’s compliance with or failure to comply with applicable tenancy legislation, investment decisions made using platform data, the actions or omissions of other platform users (landlords, tenants, or service providers), or any interruption, error, or delay in the platform.
All platform software, design, content, branding, and documentation is the exclusive property of MyPropertyFlow Pty Ltd. Users are granted a non-exclusive, non-transferable licence to use the platform for its intended purpose only. You may not copy, modify, distribute, or reverse-engineer any part of the platform.
Either party may terminate a subscription on 30 days’ written notice. MyPropertyFlow may terminate immediately for material breach, illegal use, or non-payment. Upon termination, user data is retained for 90 days and then permanently deleted, unless retention is required by law.
These Terms are governed by the laws of Queensland, Australia. Disputes are subject to the non-exclusive jurisdiction of Queensland courts.
We may update these Terms from time to time. We will notify registered users of material changes via email. Continued use of the platform after notification constitutes acceptance of the updated Terms.
